Position summary

Advise current and prospective students and families in college financial planning, assist in completing and processing federal financial aid forms, answer questions about student accounts and provide continued service throughout the year as needed.  Explain financial statements, help students navigate the online registration process.

Qualifications summary

Bachelors degree and or 4 years of qualified experience or training; or equivalent combination of education and experience.  People skills, customer service skils, telephone experience. 


Must be a Seventh-day Adventist in good and regular standing.

Duties and responsibilities


  1. Initial contact with prospective students and/or parents to answer general financial planning questions.

  2. Receive results of FAFSA application and complete all federally required verification for financial aid and assist the family in making financial decisions regarding their financial award and plans to register.

  3. Discuss and set up preferred financial plan with projected costs and resources for the year.  Provide a copy for the student and/or parent to sign.  Assist families in turning in all necessary supporting financial documents.

  4. Give financial clearance for student to pre-register for classes and gather initial appeal documentation when the student asks for a financial exception to be able to register.

  5. Provide loan entrance counseling information for the student to do in preparation for applying for federal loans.  Certify approved loans for Alternative loans.

  6. Maintain a knowledge of each students account, payment plans and satisfactory academic progress and override plans so they can be monitored on a monthly basis. A spreadsheet that lists each student receiving federal financial aid is helpful in monitoring accounts.  This assists in monitoring the status of their process (verification, loans, etc.) and the information is also most helpful in avoiding over-awards.  

  7. Maintain student financial aid and account files with appropriate data, forms, and signatures.

  8. Review monthly statements to check for delinquent payments or student earnings.  Contact the parent and/or student to discuss options that may help keep the account current. Send out letters monthly for missed payments. 

  9. Collect and process Multi-Institutional Enrollment forms for students who are enrolling as guest students at other colleges.  Send letters to the other institutions to verify enrollment status and cost.

  10. Collect requests for 3%, 1% and tuition guarantee rebate plans and follow up to see if the rebates are applied.

  11. Collect camp scholarship and earnings receipts and update financial plans as needed.

  12. See students daily with walk-in and pre-set appointments to answer specific questions regarding student accounts, refunds, financial aid, billing, bookstore, café accounts, meal plans, ITS accounts, tours, ACA, student missionary, etc.

  13. Return all phone calls, voice mails, emails and paper messages within 48 hours from parents, students, prospective students, faculty, staff and general inquirie.  Provide written documentation when needed.  Must have strong written and oral communication skills required.

  14. Review professional judgment requests, gather necessary supporting documentation, evaluate change in FAFSA information, and its effect on the student’s financial aid award.

  15. Evaluate percentage of student earnings to agreed financial plan.  Monitor student earnings and make sure payroll petition is filed if student wants to use work earnings to go toward registration plan.

  16. Maintain knowledge of federal, state, local and institutional policies and procedures in addition to funding sources, changes, updates and their impact on students in your particular alpha.  Collect data for various federal, state and institutional reports as appropriate.

  17. Attend support staff workshops and professional development workshops to receive updates from federal and state educational and financial aid professionals.

  18. Students enrolled for summer classes.  Prepare financial plans/approval for those living in dorms and wishing to take classes.  Help process financial aid awards for them by informing them of paper work needed.

  19. Visit academies in the Lake Union and other areas and present financial aid seminars to parents and prospective students to help them understand the financial workings of Andrews University.

  20. Interact with other university departments and personnel as appropriate.  Responsibilities may include information sharing, coordination of departmentally sponsored programs or helping to do financial literacy seminar and chapel presentations.

  21. Maintains confidentiality with files that they work with and stores files in a locked file cabinet at night.

  22. Authorizes release of funds to students and authorizes additional dining services meal plan, café accounts, or bookstore increases to their current registration plans.

  23. Must be personable, energetic and have a customer service orientation.

  24. Ability to manage multiple tasks, meet deadlines, be flexible and adaptable in a rapidly changing environment required.  Must also be able to work well under pressure in a high-stressed environment.

  25. Perform other duties as assigned.



Supervisory responsibilities

Supervises student workers in our department as needed.  Responsibilities include training or assigning projects or monitoring accounts as needed.

Qualifications

Bachelors degree and or 4 years of qualified experience or training; or equivalent combination of education and experience.  Person must be willing to learn Federal Regulations, interpret them and make sure they can be explained to students, parents, internal and external customers.


Must be a Seventh-day Adventist in good and regular standing.

Technical competencies

Ability to use Excel, Microsoft word, and banner.  Have basic computer skills minimum.

Ability to calculate figures and amounts such as discounts, rebates, registration plans.

 

Interpersonal interactions

Ability to read, analyze and interpret general business periodicals, professional journals, government regulations and technical procedures.  Ability to write reports and or correspondence to parents, current students and prospective students.  Ability to effectively present information and respond to questions from customers

Physical demands

While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle or feel, reach with hands and arms; talk or hear.  The employee is required to walk and stand.  Specific vision abilities required by this job include close vision with computers and ability to adjust focus.

Work environment

Office noise, phones, people coming in and out of the office space at times, copier, shredder or folding machine.
