Borrowing Procedures for On-Campus Patrons

 

These procedures are for faculty, staff, and students who live less than 100 miles from Andrews.  If you are a currently enrolled student living 100 miles or more from Andrews University, please refer to Interlibrary Loan Procedures for Off-campus Patrons. What do you need to know before submitting a request?

 

  • Determine what you need by analyzing the citation or the bibliographic record carefully. Is it a book, a chapter in a book, a journal article, a document? Is it in the format that you want--paper, microform, etc.?

Is it the edition needed?

 

  • Please borrow only the number of books you can read within two weeks without intentions of renewing. Borrow no more than 10 requests within the same week. Lending libraries have the right to impose their rules on materials they lend, including recalls and fines, so please plan accordingly.

 

  • Always check what our library has in print or other formats. If James White Library does not have what you need for your academic research, MelCat is be your first source for borrowing books and dissertations because of our special arrangements with Michigan libraries. MelCat requests go directly to the libraries listed in the system and materials are received via courier service thus making it the fastest and cheapest way to borrow materials.

 

  • OCLC is the second choice for books and the first choice for articles as it is the network we use for interlibrary loan with libraries worldwide. Bear in mind that each potential lending library in OCLC is allowed 4 days to fill the request before it goes on to the next potential lending library. This means that it may take anywhere from one day to three weeks to receive any materials requested through OCLC. Books and dissertations are sent by postal mail, articles may be sent by postal mail or in electronic format.

 

How are requests for BOOKS submitted?

 

  • Verify that the book is NOT in JeWeL (James White Library Catalog) in print, electronic, or microfiche.

 

  • If book is not in JeWeL, borrow from MelCat for QUICK DELIVERY and COST-SAVINGS.

                Click <Search MelCat>.

                Select record with the most libraries.

                Click <Get this for me>.

                Select <Andrews University>, then click <Submit>.

                Type your email address and password, then click <Submit>.

                Wait for notification of arrival and claim immediately at Circulation Desk.

               

  • If book needed for course-related research at Andrews is NOT in JeWeL or MelCat, log on to WorldCat. Do your search and click title of record desired.

Click <ILL> from a detailed record of a published book.

                Fill out form COMPLETELY except “Date Needed” and “Max Cost.”

Remember to give your Andrews email address and select your dept. and status.

                Click <Submit>.

                Wait for notification of arrival and claim immediately at Circulation Desk.

                               

  • If book is NOT in JeWeL, MelCat , or WorldCat, it will take longer to negotiate with a library that will lend the book. We offer this SLOW METHOD as the LAST RESORT.

                From the library’s home page, click <For Off-Campus Students> at the menu bar on the left.

Click <Request a book> http://www.andrews.edu/library/ILL/ILLRequest.html

                On the left column, fill out your personal information and give your Andrews email.

                On the right column, at Type of Request select <Book>.

                Fill in the Book Title, Author, Year, and Edition (blue) and Verified (gray) boxes.

                Click <Submit>.

                Wait for notification of arrival and check out book at Circulation Desk.

 

How are requests for DISSERTATIONS submitted?

 

  • Verify that full text is NOT in Dissertation Abstracts.

               

  • Verify that the dissertation is NOT in JeWeL in print or microfiche.

 

  • If the dissertation is NOT in Dissertation Abstracts or JeWeL, borrow from MelCat for QUICK DELIVERY and COST-SAVINGS.

Click <Search MelCat>.

                Select record with the most libraries.

Click <Get this for me!>

                Select <Andrews University>, then click <Submit>,

                Type your email address and password, then click <Submit>

                Wait for notification of arrival and check out book at Circulation Desk.

 

  • If dissertation is NOT in Dissertation Abstracts, JeWeL, or MelCat, log on to WorldCat.

Do your search and click title of record in the desired format (book or microform).

Click <ILL> from detailed record of the dissertation.

                Fill out form COMPLETELY except “Date Needed” and “Max Cost.”

Remember to give your Andrews email address and select your dept. and status.

                Click <Submit>.

                Wait for notification of arrival and check out dissertation at Circulation Desk.

                For microform copies, use microfiche reader/printer at the Media Center.

               

  • If dissertation is NOT in JeWeL, MelCat, or WorldCat, it will take longer to negotiate with a library that will lend the dissertation. We offer this SLOW METHOD as a LAST RESORT.

How are requests for ARTICLES submitted?

 

  • The FASTEST and EASIEST way to locate and request an article is to log on to the appropriate OCLC database. (If you don’t know which OCLC database indexes the journal you are interested in, look it up in Periodicals Titles in OCLC FirstSearch.)

Do a search in the appropriate OCLC database and click on title of article.

IGNORE the Andrews University icon.

Click <HTML> or < PDF> if full text is in that database.

If full text is not in that database, check availability in other databases. At External Resources, click <Search for full text> and click <Article> or <Journal> to access full text or to check library’s print holdings.

 

  • If article is NOT available in electronic or print format, submit a request by clicking <ILL> from the detailed record of the article.

Fill out form COMPLETELY except “Date Needed” and “Max Cost.”

Remember to give your Andrews email address and select your dept. and status.

                Click <Submit>.

Electronic copies will be sent to your Andrews email with Ariel in Subject line (open the .tif  files).

                Paper copies will be sent to you, preferably via intercampus mail.

 

  • If you are in non-OCLC database such as EBSCO, ProQuest, Gale, Silver Platter, etc. there are more steps to follow.

Click <HTML> or <Text + Graphics> or <PDF> if full text is in that database.

If full text is not in that database, check availability in other databases by clicking on <Journal Linker> or <Article Linker> if provided.  Otherwise, you will have to toggle between the database and the Periodials A-Z list to check where a full text or print copy of the article is found.

If full text is not available anywhere, submit your request from the appropriate OCLC database for QUICK Delivery.

If NO OCLC database contains a record of the article, RESORT to this SLOW METHOD:

- From the library’s home page, click <For Off-Campus Students> at the menu bar on the left.

- Click <Request an article> http://www.andrews.edu/library/ILL/ILLRequest.html

                                - On the left column, fill out your personal information and give your Andrews email.

                                - On the right column, at Type of Request select <Journal Article>.

- Fill in the Journal Title (blue), Article Title, Article Author, Volume, No. Date, Pages (green), and Verified in (gray) boxes.

                                - Click <Submit>.

- Electronic copies will be sent to your Andrews email with Ariel in Subject line (open the .tif  files immediately).

                                - Paper copies will be sent to you, preferably via intercampus mail.

 

How are requests for ERIC Documents submitted?

 

ERIC documents (ED 002 747 – ED 467 875) published in 1958-2002 are in the ERIC microfiche file at the Multimedia Center but they are NOT listed in the JeWeL catalog.  ERIC (OCLC) has a majority of the documents in full text and is the best method of submitting an interlibrary loan request for documents that are not in full text or microfiche. 

 

ERIC indexes articles and documents. For articles, limit to <Journals CIJE> and follow procedures under Articles (link this one) as outlined earlier. The following procedures are only for documents.

 

  • Verify that the document is not in full text in the database or in microfiche in the Media Center.

Log on to the ERIC OCLC database.

Search document by title, author, keyword, etc.

Limit document type to <Document RIE>.

Select document and click title.

Click on <View full text in PDF> or <View full text in HTML> to get full document

If not in full text, go to the Multimedia Center and search ERIC microfiche by ED number.

Use microfiche reader-printer at Multimedia Center to read document.

 

  • If microfiche is NOT in Media Center, log on to ERIC OCLC again.

From the detailed record click <ILL> to borrow from another library.

Fill out form COMPLETELY except “Date Needed” and “Max Cost.”

Remember to give your Andrews email address, Andrews ID, and select your dept. and status.

Click <Submit>.

Wait for notification of arrival and check out microfiche at the Circulation Desk

Use microfiche reader-printer at Multimedia Center to read document.

                               

  • Occasionally documents are also published as books. If the Media Center does NOT have the microfiche, check JeWeL catalog or MelCat or WorldCat before borrowing a microfiche through ERIC.

 

How are the items received?

 

  • Books and Dissertations

 

Pick up books/dissertations at the Circulation Desk as soon are you are notified.

Do NOT remove any paper work attached to the book/dissertation.

Note due date and abide by all regulations set by the lending library.

 

  • Articles

 

Photocopied articles may be delivered to you electronically or in paper.

For electronically delivered articles, watch for the subject heading “Ariel Document” and click on the .tif files to open the article. Rotate as needed and save immediately.

Paper copies are sent to your address.

Do not pass on or distribute article to others in accordance with copyright laws.

 

Where are the items returned?

 

  • Books and Dissertations

 

Return books and dissertations to the Circulation Desk ON TIME.

Please abide by the loan periods specified by the lending library so that we can maintain good relationships with other libraries.

 

  • Articles

 

                Pay attention to any special instructions that accompany the material.

Most photocopied articles are for you to keep but if there is a due date, return to the Circulation Desk.

Do not pass on or distribute the article to others in accordance with copyright laws.

 

How are requests cancelled?

 

  • Click <Cancel > if request has not been sent.

 

  • If request has already been sent, call the ILL Office right away at (269) 471-3506.

 

  • If you cancel after the book has been received, you may end up paying a fee.

 

How are renewals requested?

 

  • Bring the book with you to the Circulation Desk THREE DAYS BEFORE the due date and COMPLETELY fill out a Renewal Form. The request must ALWAYS have the ILL number to be processed accurately. One book per form, please.

 

  • Submit the completed form with the book to the Circulation Desk and have the book stamped “RENEWED on (date)” in order for it not to be counted overdue.

 

  • If you do NOT receive notification of renewal, RETURN the book to Circulation Desk within TWO WEEKS of the original date due.  Overdue fines take effect immediately.

 

Where does a patron go for assistance?

 

If you need help in processing an ILL, opening an electronically delivered article, or in finding out the status of your request, you may drop by the Information Desk or call 471-3283. For more information or  complex problems, you may call the ILL Office at 471-3506 or email ill@andrews.edu.

                               

How is a problem reported?

 

We count on you to help us maintain a good record with the lending libraries so that they will honor future requests from us. When you lose or damage a borrowed material, please report immediately to the Interlibrary Loan Office at phone no.  471-3506 or send an email to ill@andrews.edu. Be ready to pay replacement, processing, and other charges imposed by the lending library. Do not submit any other requests until the problem has been solved.
