for: Grant Records
STATEMENT
Records of grants from internal and external funding
sources are generally administered through the Office of Scholarly
Research and are maintained in their central files. A copy of those
closed files should be transferred to the archives, as should documentation
of internal and external grants not administered by the Office of
Scholarly Research.
Responsibility of the Units Generating and Administrating Grant
Records
Documentation of grants should be maintained by
the unit administering the grant, such as the Office of Scholarly
Research and the various colleges, schools and departments as long
as it is necessary to satisfy legal, administrative, or fiscal requirements.
Thereafter, grant files should be transferred to the AUARC by the
unit administering the grants. These records should include but
are not limited to:
the proposal
the contract documents
substantive correspondence
financial records
the final report.
